This notice explains what information TradieOS holds, why, who helps us handle it, how long we keep it and what you can ask us to do. It covers the TradieOS app, the website at tradieos.co.uk, and the customer pages businesses send their customers.

Who we are

TradieOS is made by SucSaaS Studios Ltd, a company registered in England and Wales (company number 17235055). Contact us about anything on this page at alex@tradieos.co.uk.

Two roles

We're the controller for information about the people who use TradieOS: business owners, their staff, and accountants they invite. We decide how that information is used, as set out here.

We're a processor for information a business puts in about its own customers: names, phone numbers, emails, addresses, jobs, quotes, invoices, photos and certificates. The business is the controller of that information. We only use it on their instructions, to run TradieOS for them, under the data processing terms in our terms. If you're a customer of a business that uses TradieOS, that business's own privacy notice applies, and they're the best people to ask first.

What we collect

Location

TradieOS only uses your location for one thing: the live "on my way" tracker.

The tracker page shows the map using OpenStreetMap, and may look up the customer's postcode with postcodes.io to place their house on the map. Addresses you type are looked up against Ordnance Survey's address data. Photos you add may include location details stored by your phone's camera; you can turn that off in your camera settings.

For staff: the business you work for decides whether to use On my way, and is responsible for telling you about it. Our legal basis for handling it on their behalf is their contract with us; the business's own basis is usually its legitimate interest in letting customers know when someone will arrive.

Why we use it, and our legal basis

We don't sell personal information, we don't use it for advertising, and we don't make automated decisions about anyone that have legal or similarly significant effects.

Who helps us run it

These companies process information for us, each only what it needs for its part, under contracts that protect it:

We may also share information if the law requires it, to protect people's safety, or with a buyer if the business is ever sold (who would have to keep to this notice).

Transfers outside the UK

Our main database is in the UK. Some of the providers above are based in, or use servers in, the EU or the United States. Where information leaves the UK we rely on UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the ICO's International Data Transfer Agreement or Addendum, as appropriate.

How long we keep it

Businesses are responsible for keeping their own records (such as invoices and gas safety records) for as long as the law expects them to, so export them before closing an account.

Cookies and storage

This website doesn't use cookies, analytics or tracking. The app and customer pages store only what's needed to work: keeping you signed in, your settings, and your work saved on the device so it works with no signal. These are strictly necessary, so there's no cookie banner. If we ever add analytics, we'll ask first.

Keeping it safe

Information is encrypted in transit and at rest. Each business can only see its own data, enforced in the database itself, and staff only see what their role allows. Customer page links are long, hard-to-guess addresses; anyone with a link can see that one document, so treat them like an emailed PDF. If something ever goes wrong, we'll tell affected businesses and the ICO when the law requires.

Complaints

If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or call 0303 123 1113.

Children

TradieOS is for businesses and isn't meant for anyone under 16.

Changes

If we change this notice in a way that matters, we'll update the date at the top and tell account holders by email.
