Terms

These terms are the agreement between your business and SucSaaS Studios Ltd (company number 17235055, registered in England and Wales), who make TradieOS. By creating an account you agree to them on behalf of your business. Questions go to alex@tradieos.co.uk.
What TradieOS is
TradieOS is software for running a trades business: customers, jobs, scheduling, quotes, invoices, certificates, reminders and payments. It's a tool for your business, so these terms are a business agreement, not a consumer contract.
Your account and your team
- The person who creates the account is the account holder and can add owners, office staff, team members and an accountant.
- You're responsible for who you invite, what permissions you give them, and what they do in your account.
- Keep sign-in codes to yourself. Tell us straight away if you think someone has got into your account.
Free trial
Every new business gets 30 days free with everything included and 20 texts. No card is needed. If no plan has started when the trial ends, the account becomes read-only: you can still sign in, look at everything and export it, but you can't add new jobs, quotes or invoices.
Plans and payment
- Prices are shown on tradieos.co.uk: a monthly price for the business (owner included), a price for each other person in the team, and accountants free.
- Plans are paid by card through Stripe, monthly or yearly, in advance. Seat changes are worked out pro rata automatically.
- Each plan includes 100 texts a month. Extra texts are charged per text, billed monthly in arrears, up to the monthly limit you choose. Unused texts don't roll over.
- Card payments your customers make are charged at Stripe's fee plus our 0.15%, taken when the payment is made.
- We can change prices with at least 30 days' notice by email. Changes apply from your next billing date after the notice ends.
- If a payment fails, Stripe will try again. If it still can't be taken, the account becomes read-only until it is.
Cancelling
You can cancel any time from Your plan on the website. Monthly plans stop at the end of the month you've paid for; yearly plans stop at the end of the year you've paid for. We don't refund part periods, except where the law requires it.
Your data
- Everything you put into TradieOS belongs to your business. We only use it to run the service, as set out in our privacy notice. For your customers' information you are the controller and we are your processor.
- You can export your customers, price book, invoices and payments at any time.
- If a trial ends without a plan, or a plan stops, we keep your data for 90 days and email the account holder before deleting it. After that it's deleted for good. Keeping your own business records for as long as the law requires (for example six years for invoices) is your responsibility, so export them first.
Data processing terms
For your customers' personal information, your business is the controller and we are your processor. To meet Article 28 of the UK GDPR, we agree to:
- only process it on your documented instructions (using TradieOS as designed counts as your instructions), unless the law requires otherwise;
- make sure everyone who handles it is bound by confidentiality;
- keep it secure with appropriate technical and organisational measures, including encryption and strict separation between businesses;
- only use the sub-processors listed in our privacy notice, under contracts with the same protections, and tell you before adding new ones so you can object;
- help you respond to people exercising their data rights, and with security, breach notification and data protection impact assessments where relevant;
- tell you without undue delay if we become aware of a personal data breach affecting your data;
- delete or return your data at the end of the service, as set out above;
- give you the information you reasonably need to show compliance, and allow reasonable audits.
You confirm you have a lawful basis to put your customers' information into TradieOS and to contact them through it.
Texts and emails you send
- Messages go out under your business name. Only send them to your own customers about their jobs, quotes, invoices and renewals. Never send marketing texts or emails to anyone who hasn't agreed to them (the Privacy and Electronic Communications Regulations apply).
- Turn reminders off for any customer who asks you to. You can do this per customer in the app.
- Texts and emails are delivered by third parties, so we can't guarantee every one arrives.
Certificates, quotes and tax
TradieOS helps you fill in records, quotes and invoices, but you're responsible for what they say. For gas safety records and other certificates, the engineer who carries out the work is responsible for the checks and the results. VAT, CIS and other tax figures are worked out from the settings you choose, so check them and ask your accountant if you're unsure.
Team messages and staff
Team messages, timesheets and job notes are visible to the people in your business with permission to see them. If you use TradieOS to record your staff's hours or work, or use On my way (which shares the person's live location with the customer until they arrive), tell your staff what's recorded and shared and why. Your own staff privacy notice should cover this.
Fair use
Don't use TradieOS for anything unlawful, to send spam, to harass anyone, or to try to get at other businesses' data. Don't try to break, overload or copy the service. We can suspend an account that does, and we'll tell you why.
Keeping it running
We work hard to keep TradieOS available and your data safe, with backups and work saved on your phone when there's no signal. We can't promise it will never be down, and we may change or improve features over time. If we ever remove something important, we'll give you notice.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow us to limit. Otherwise, we aren't liable for lost profits, lost business or indirect losses, and our total liability in any 12 months is limited to what you paid us in those 12 months.
Changes to these terms
We may update these terms. If a change matters, we'll email the account holder at least 30 days before it applies. Carrying on using TradieOS after that means you accept the new terms.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute. If something goes wrong, email us first and we'll try to put it right.
